Questions and Notes

Q&A gives users a controlled way to ask site administrators questions without turning a site into an open discussion forum. Questions are private between the user and the site reviewers. Administrators can answer, assign, resolve, and export the record.

Sites can also include public administrator updates:

  • Announcements are site-wide updates.
  • Notes are administrator or reviewer notes attached to content or files.

When You See Q&A

The Q&A tab appears only when Q&A is enabled and there is something relevant to show, such as:

  • your own question threads
  • administrator answers to your questions
  • site announcements
  • notes attached to a file or content item

Administrators and reviewers may see the Q&A tab even before users have asked questions because they can manage the shared review queue.

Ask a Question

You can ask questions from available Q&A actions in a site, folder, content item, or file. In PDFs, you may also be able to ask about:

  • the current page
  • selected text
  • a highlighted region connected to selected text

To ask a question:

  1. Open the relevant site, folder, content item, file, or PDF.
  2. Select Ask question from the available Q&A action.
  3. Enter a short title and the question.
  4. Confirm the context shown in the dialog.
  5. Send the question.

The context helps reviewers understand what you are asking about. For PDF questions, the context may include the file name, page number, selected text, and highlight geometry.

Review Answers

When an administrator answers your question, the thread moves into your pending Q&A and appears in the relevant Q&A tab.

Open the thread to review:

  • your original question
  • administrator responses
  • the referenced site, file, page, or selected text
  • any follow-up messages

If you need more information, send a follow-up. Follow-ups reopen the thread for reviewer attention.

PDF Question Markers

When a question is tied to a PDF page or selected text, the PDF viewer can show subtle Q&A markers. Users see their own question markers and unread administrator replies. Reviewers can see Q&A markers for the file according to their review permissions.

Selecting a marker opens the related thread so the question and answer remain connected to the source material.

Public Notes and Announcements

Announcements and notes are different from private Q&A threads:

  • Announcements are site-wide administrator updates.
  • Notes are attached to a content item or file.
  • Users can read them, but they are not open discussion threads.

If a note or announcement includes a date, it appears as supporting context under the title.

Notifications

Q&A uses your notification preferences. Depending on your role and settings, you may be notified when:

  • an administrator answers your question
  • a reviewer needs to respond to a question
  • a user follows up on a thread
  • an administrator publishes a site announcement or file note
