Notifications

The Clear Ideas App boasts a comprehensive notification system designed to keep users informed of important events and updates. Notifications are currently delivered via email, offering users a variety of options to tailor the frequency and timing to their preferences.

Notification Frequency

Each user can choose from several notification frequency options:

Immediate: Receive notifications as soon as an event occurs.

Hourly: Receive notifications every hour.

Daily: Receive a daily summary.

Weekly: Receive a weekly digest.

Never: Disable notifications entirely.

Customizing Notification Timing

Users have the flexibility to customize when notifications are sent:

Immediate and Hourly Notifications

For immediate or hourly notifications, you can define specific time windows:

  • Start Time: Set the earliest time you want to receive notifications
  • End Time: Set the latest time you want to receive notifications
  • Days: Select which days of the week notifications should be sent
  • Time Zone: Times are interpreted in your configured time zone (see Time Zone Settings)

Example: Set immediate notifications to only send between 9:00 AM and 5:00 PM on weekdays.

Daily and Weekly Notifications

For daily or weekly notifications, you can select:

  • Time of Day: The exact time you want to receive the digest
  • Days of Week: For weekly notifications, choose which day(s) to receive the summary
  • Time Zone: Times are interpreted in your configured time zone

Example: Set daily notifications for 8:00 AM every weekday, or weekly notifications every Monday at 9:00 AM.

Notification Digests

Notifications are compiled into digest format:

  • Single Message: Updates from all sites are combined into a single email message
  • Scheduled Delivery: Digests are sent at your configured date and time
  • Muted Periods: If an event occurs during a muted period (outside your time window or on disabled days), the update will be included in the next available notification window
  • Comprehensive: All events that occurred since your last notification are included

This digest approach reduces email volume while ensuring you stay informed of all important activities.

Events and Notifications

The following events can trigger notifications, which users can enable or disable as needed:

  • New File Uploaded
  • File Deleted
  • Site Created
  • Site Made Public
  • Site Made Private
  • User Added to Site
  • User Removed from Site
  • Invitation Email Sent to User
  • User Accepted Invitation
  • Site Export Requested
  • Site Exported
  • Archive Unzipped

Site-Specific Notifications

Subscribing to Sites

By default, you receive notifications for all sites shared with you. You can customize this on a site-by-site basis:

  1. Navigate to Settings > Notifications
  2. Scroll to the "Notifications for Sites Shared With You" section
  3. Review the list of sites you're subscribed to
  4. Uncheck sites you don't want to receive notifications from
  5. Click Save Site Notification Settings

Subscribed Sites: Only checked sites will generate notifications based on your notification types and frequency settings.

Notification Types for Shared Sites

You can also control which types of notifications you receive for sites shared with you:

  • New File Uploaded: Receive notifications when files are uploaded to sites you're subscribed to

These settings apply to all sites you're subscribed to. For more granular control, use site-specific notification settings (see below).

Site-Level Notification Control

Site owners and administrators can enable or disable notifications for all users associated with their site:

  • Site Settings: Navigate to Site Settings > Notifications
  • Centralized Management: Site administrators can control notification preferences for all site members
  • Override User Settings: Site-level settings can override individual user preferences for that specific site

This allows for centralized management of notification settings at the site level, ensuring consistent communication for site activities.

Managing Notification Settings

Updating Your Preferences

  1. Navigate to Settings > Notifications
  2. Configure your notification frequency and timing
  3. Select notification types you want to receive
  4. Choose which sites to subscribe to
  5. Click Save Notification Settings or Save Site Notification Settings to apply changes

Notification Email Address

Notifications are sent to your account email address. You can view your current email at the top of the Notifications settings page. To change your email address, see Email Settings.

Note: In demo mode, notifications are disabled and you'll see a message indicating this.

Best Practices

Frequency Selection: Choose a frequency that matches your workflow. Daily or weekly digests reduce email volume while keeping you informed.

Time Windows: Set time windows for immediate/hourly notifications to avoid interruptions outside your working hours.

Site Subscriptions: Regularly review your subscribed sites and unsubscribe from sites you no longer need notifications from.

Site Administrators: Use site-level notification settings to ensure important site activities are communicated to all members.

These features collectively provide users with comprehensive control over their notification experience, ensuring timely and relevant updates aligned with their personal schedules and preferences.
